Should I invite someone to a board or a workspace?
Choose a workspace invitation when someone needs to work across that workspace. Choose a board’s Share control when they only need access to that board.
The role names differ: workspace invitations offer Member, Viewer and Admin, while board sharing offers Guest, Editor and Admin.
Choose the scope
Invite someone to the workspace when they need to work across its boards. Use a board’s Share control when they only need access to that board.
Workspace and board roles have different names and scopes. Check both the destination and the role before sending an invitation.
Invite a workspace member
- Select the workspace you want to manage.
- Open Settings → Members & invites.
- Choose + Invite members.
- Enter the person’s email and select a role.
- Send the invitation and check Pending invites.
The invitation controls are available to workspace owners and admins. A Member can create and edit boards and tasks; a Viewer has read-only access; an Admin can also manage members.
Manage invitations
Use Pending invites to see invitations that have not been accepted. Owners and admins can resend or cancel an invitation. The invitation dialog also offers a link to copy if its email does not arrive.
Check the address and the current invitation status before resending. Once someone joins, look for them in Active members.
Share one board
Open the board and select Share. Enter the recipient’s email, then choose Guest for read-only access, Editor to edit items or Admin for full board control.
A board invitation grants access to that board rather than membership in the whole workspace.
Keep access up to date
Review the active-member list as your team changes. Owners and admins can use Remove to remove a member, or Leave for their own membership where permitted. Read any confirmation before proceeding.
If you cannot see an invitation or management control, check that you selected the correct workspace and ask its owner to review your role.
Message a teammate directly
This is a short introduction. Message and call a teammate has the full instructions with screenshots.
Messages lives in the left rail, with a badge that shows how many conversations have something new for you.
Start a conversation
- Open Messages in the left rail.
- Select New message and choose a workspace member, or click that person anywhere they show up online — a board avatar, the Online panel, workspace home — and choose Message from the menu that opens.
Clicking anyone online opens the same menu wherever you find them, with five options: Follow, Message, Call, Video call and Share my screen. See who’s here, follow them, or call them for what following, calling and screen sharing do — this guide covers Message.
One conversation per person, per workspace
Conversations are one-to-one and scoped to the workspace you're in. If you share more than one workspace with someone, each workspace keeps its own conversation with them.
Call, video call or share your screen
Open a conversation and use the buttons in its header: Call starts a voice call, Video call starts the same call with your camera already on, and Share screen offers that person your screen instead. Each is disabled, with a reason in its title, when the person is offline or you're already in a call.
Send a file
Use the paperclip button in the composer, drag a file onto the conversation, or paste an image straight from your clipboard. Attach up to 10 files per message, 25 MB each. Images show as thumbnails you can click to open full size; other files show as a card with their name, size and a download link. Only the two people in the conversation can see or download what's attached.
Unread messages
The Messages badge in the rail and the unread count on each conversation update as new messages arrive. Opening a conversation marks it read.
Desktop and email notifications
Turn on Settings → Notifications → Desktop notifications to get a desktop alert for new messages — and for follow requests — while Snappi is open in another tab or window. Your browser asks for permission once; if you later block it, re-enable it from your browser’s site settings.
If the person you're messaging is not online at the time, Snappi sends a bell notification and an email instead, at most once per conversation every 30 minutes so a fast back-and-forth does not flood your inbox. Turn this off on its own from Settings → Notifications, under Direct messages.
