How do I turn a note into a task?
In Notebook, select the text that describes an action and choose Assign, then pick a board and group. You can also choose Highlight first and assign it later from the highlights panel.
The assigned highlight links the note to the board item, where you can add an owner, status and dates.
Create a note
- Select the workspace where the note belongs.
- Open Notebook and choose New doc.
- Enter a title and write your note in the Write tab.
- Check that the save indicator reads Saved before leaving.
Use a note for meeting minutes, a brief, a plan or ideas that are not ready for a board yet.
Record a meeting

- Open the note for the meeting, then choose Record meeting in the Notebook editor header, next to Write and Highlights.
- If the meeting is in Sinhala or Tamil, pick Sinhala + English or Tamil + English in the Language menu next to the Record button first. Auto cannot detect these two languages; both presets handle English words and sentences inside the meeting.
- Allow the microphone permission prompt when your browser asks. Snappi records your microphone only — it does not capture system audio or a call's other participants directly.
- Speak normally. Live transcription is appended to the note as timestamped lines under a Meeting notes — <date> heading as the meeting goes, and you can keep typing in the same note while it records.
- Choose Stop when the meeting ends. The note is saved with the recorded transcript in place.
You can pay for recordings with notes pages, which you can buy in Settings → Notes pages on any package, Free included (Free has no AI credits, so you prepay): a recording uses 1,000 characters per minute (one page is 1,800 characters), with speaker names and topics included. Without notes pages, recording costs 1 AI credit per recorded minute from the workspace's AI credits and Starter and above include credits every month. On Free you prepay for notes pages or AI credits from $5. Meeting recording starts on Starter; Free keeps Notebook text notes.
Once you've stopped recording, highlight the lines that describe an action and assign them to a board the same way as any other note.
Summarise a note
- Open the note and choose the ✨ Summary tab next to Write and Highlights.
- After a voice recording the summary is written by itself once speakers and topics are done. For a note you typed, choose Summarise this note. While it works you'll see what is happening step by step, and a soft sound plays until it's done (the bell button turns it off).
- Read the result: a short overview, Step by step points in the order things were discussed, Decisions, Action items with owners where the note names them, and Open questions. Summaries are in English by default, even for Sinhala or Tamil notes; the Language menu can switch that.
- Hover any point to Highlight it or Assign to board — it goes to the Highlights panel and onto a board exactly like text you select in the note. Copy and Insert into note are there too.
If you keep editing, the tab says the note has changed and offers Update summary. A summary uses your notes pages when you have them (the length of the note, one page minimum); otherwise it costs 1 AI credit per started 8,000 characters of the note. Summarising an unchanged note again is free.
Capture an action
- Select the words in your note that describe the action.
- Choose Highlight to keep the selection in the highlights panel, or Assign to send it to a board.
- For an existing highlight, choose Assign to board.
- Search for the destination board, expand it and choose the group where the item should go.
For example, select “Prepare the launch announcement” in your meeting notes and assign it to the Launch week group on your launch board.
Follow the work
Use the Highlights tab to review captured text. Assigned highlights show their board connection so you can follow the action back to the work.
Open the destination board to add the owner, status and dates. The note keeps the context; the board keeps the task moving.
Write faster with “/” commands
Type / at the start of a line to insert a block: headings, a bulleted, numbered or to-do list, a table, a divider, a quote, a code block, a callout, today’s date or the time, and a ready-made meeting-notes layout with attendees, agenda, decisions and action items. Keep typing to filter the list, then press Enter or click. Escape closes it.
Share a note
A note is private to you until you share it, the way a Google Doc is. Open the note and choose Share. Add people by email as viewers or editors, with a message if you like, and they are emailed a link; someone without a Snappi account sees the note as soon as they sign in with that address. Under General access, choose Restricted (only the people you added), your workspace (everyone in it) or Anyone with the link, and whether they can view or edit. Copy link gives you the address to paste anywhere. Owners and editors can share; only the owner can delete the note.
Keep your notes organized
Give documents descriptive titles so they are easy to recognize in the notebook list. Check the active workspace if you cannot find a note.
To remove a document, use its delete button and review the confirmation. Deleted documents go to Trash, under your list of notes, where you can restore them for 30 days.
