Make a board work your way

Organize tasks in one board, then explore the same work through nine different views.

How do Snappi board views work?

A board keeps your tasks and their details together. Its views present the same work as a table, Kanban board, calendar, timeline, Gantt chart, chart, cards, files or form, so you can choose the perspective that fits the job.

Start with the Main table to add your work and the dates needed for date-based views, then add the perspective you need.

Understand the pieces

A board holds a workflow. Groups divide the work into useful sections. Each item is a task, request or record. Columns capture details such as status, owner, dates and other information.

For a launch board, groups might be Planning, Production and Launch week. Items are the individual jobs within those groups.

Add and organize work

  1. Open your board and select Main table in the view selector.
  2. Use + Add item beneath a group to enter a new task.
  3. Edit the item’s cells to add the details you need.
  4. Use Add group to create another section.
  5. Use Add column at the end of the table header to choose a column type and give it a name.

You can drag rows to reorder work or move items between groups.

Break a task into sub-tasks

Sub-tasks split a bigger piece of work into steps, each with its own status, people and dates. A task can have sub-tasks, and a sub-task can have its own, two levels deep.

  1. In Main table, hover over a task and choose the + next to its name (Add sub-task). Type a name and press Enter.
  2. Or open the task and use + Add sub-task in its Sub-tasks section. Press Enter to add one and start the next straight away. Press Esc when you’re done.
  3. Tick the circle next to a sub-task to mark it done. Its status is set to Done, and the progress bar fills.
  4. Select a sub-task’s name to open it. Sub-task of at the top takes you back to its parent.

The parent shows progress such as 2/5 in the table and on Kanban cards. Sub-tasks stay with their parent: when the parent moves to another group, by hand or because its status changed, its sub-tasks go too. Drag a sub-task into a different group to make it a task of its own. Use Expand all sub-tasks or Collapse all sub-tasks in a group’s menu to show or hide them.

Duplicate a task

A copy keeps everything about the work: every column value, the people on it, its files and all its sub-tasks. It appears right below the original, named “… (copy)”.

  1. Right-click the task in Main table and choose Duplicate.
  2. Or open the task, choose the … menu at the top, then Duplicate task.
  3. On a Kanban card, open its menu and choose Duplicate.
  4. To copy several at once, tick them and choose Duplicate in the bar at the bottom of the board.

Updates (comments) aren’t copied unless you choose Duplicate with updates. The task’s activity history stays with the original.

Duplicate a board

  1. Open the board’s … menu next to Share and choose Duplicate board, or use the … next to the board in the sidebar.
  2. Give the copy a name.
  3. Choose what to copy: Structure only (columns, groups, views and automations), Structure and tasks (also every task, sub-task, value, person and file), or Structure, tasks and updates (also each task’s comments).
  4. Choose Duplicate. The copy opens and appears right below the original in the sidebar.

Saved views keep their filters, hidden columns and Kanban settings. Archived tasks, guests and share links aren’t copied, so only people in the workspace can see the copy until you share it.

Add another view

  1. Open the view selector above the board.
  2. Select Add view.
  3. Choose the view you want, then use the selector or view tabs to switch between your saved views.

Views show the same board in different ways. Update a task once and its information stays with it as you change views.

Focus on what matters

Use the board’s search, Filter and Sort controls to narrow the work in front of you. Clear filters when you want to see the full board again.

If a dated view looks empty, check that your items have dates. If a board appears to be missing work, check the active filters and confirm that you opened the intended workspace and board.

Share the right access

Select Share to invite someone to this board by email. Choose Guest for read-only access, Editor to let them edit items, or Admin for full board control.

A board invitation gives access to that board. Use workspace membership when someone needs to join the wider workspace.

Avatars at the top right of a board show everyone currently on it, each in their own colour. The Online panel in the left sidebar goes further: it lists everyone online anywhere in the workspace and where each person is. On a board it has two tabs, Workspace and This board, a search box once the list is long, and a header you can click to collapse it to a single row — handy in a large team.

Following someone

  1. Click anyone — a board avatar or a row in the Online panel — to ask to follow them. They see a card naming you, with Allow and Decline. Nothing is shared until they allow.
  2. Once allowed, a frame in their colour surrounds the board, a pill at the top names them, and their cursor appears with their name on it. If they are on a different board, Snappi takes you there and keeps following as they move. Snappi scrolls to keep their cursor in view; turn that off from the pill if you would rather look around yourself.
  3. If they are on a different view of the same board, the pill offers Go there.
  4. Click the avatar again, choose Stop, or press Esc to stop following. Following again asks again.

While someone follows you, a chip at the bottom right says who, with Stop to end it and Share screen to show them your screen instead. Only the person you chose is shown, so a busy workspace stays calm. Someone on a board you don’t have access to shows simply as being on a private board.

Calling someone

  1. Use Call next to a person in the Online panel, on the workspace home, or in the follow pill for a voice call — turn your camera on from inside the call window if you want video — or Video call to start with the camera already on. They are rung on every tab they have open and choose Accept or Decline.
  2. The call opens in a small window you can drag, or expand to fill the screen. Mute, turn your camera on or off, share your screen, and open the chat drawer to send messages during the call.
  3. Hang up with the red button. Either side can end the call at any time.

Calls are one to one, between people online in the same workspace, and go directly between your two browsers. Chat messages live only in that call. If a network blocks the direct path, the call is relayed through Cloudflare.

Restore something you deleted

Nothing you delete in Snappi is gone straight away. Boards, notes, tasks, groups, columns, views, dashboards, updates, files, teams and whole workspaces all go to Trash and stay there for 30 days.

  1. Open Trash in the left rail.
  2. Find what you deleted. Each row shows what it is, where it was, who deleted it and how many days are left.
  3. Select Restore. It returns exactly as it was, with everything that was deleted along with it — a group comes back with its tasks, a task with its subtasks, updates and files.

If the place it belonged to was deleted too, restore that first: for example restore the group, then the task. You see what you deleted yourself; workspace owners and admins see everything deleted in the workspace, and only they can choose Delete forever. After 30 days items are removed automatically and cannot be recovered.
